Job Overview:
The Executive Personal Assistant will provide comprehensive support to our Director General. He/She will be expected to play a key role in managing the Director General’s hectic schedule, facilitate communication and ensure efficient operation of the office. This role requires an individual who is proactive, detail-oriented and possesses exceptional organizational
and communication skills, with the ability to handle sensitive and confidential information.
Duties and Responsibilities
- Manage the Director General’s daily schedules and calendars.
- Plan and coordinate office itineraries.
- Develop and carry out an efficient documentation and filing system for the Executive.
- Review and edit documents, reports, and presentations for accuracy and professionalism.
- Assist the Director General in liaising with internal and external stakeholders.
- Use discretion when handling sensitive or confidential information relating to the Agency.
- Research and compile information relevant to decision-making.
- Take accurate minutes of meetings and assist in the preparation of agendas and other materials.
- Manage email correspondence by filtering and redirecting as needed.
- Work with team members to ensure the smooth running of office operations.
- Assigned ad hoc tasks by the Director General.
- Bachelor’s degree in Business Administration, Communication, or related field with at least five (5) years post-qualification experience as Executive Assistant, Personal Assistant or in a similar role.
- Associate’s degree/Diploma in Business Management, Administration, Computing/IT or
related field with at least seven (7) years of post-qualification experience. - Professional certification in administration such as CAP will be an added advantage.
- Proficiency in Microsoft Office Suite, and other relevant software/tools.
- Ability to maintain a professional demeanor under high pressure situations.
- Integrity and discretion in handling confidential information.
- Multitasking and organizational skills are essential, as is the ability to manage deadlines and multiple priorities.
- Other languages spoken are especially useful if they relate to the work of the agency.
- Experience in ICT sector or related fields.
- Use of project management and collaborative working tools.
- Experience in preparing presentations and delivering them.
